When do registrations close?

Registrations close on the 13th of July

Cost:

The ticket prices are as follows:

$65 Venturers/Guides
$50 Linking Scouts
Free for Rovers and Leaders

Bus Tickets to and from trains are $15 each way
Some activities are subject to a $10 fee. More information when you register!

Refunds:

Should a participant be unable to attend due to medical or compassionate reasons, upon presentation of either a medical certificate/other information for the relevant period, a full refund will be made to that participant.

A refund on medical or compassionate grounds can be requested at any time prior to the event, and until five days after the conclusion of the event. Any requests made outside of this period will be considered by the Camp Chiefs.

Should a participant be unable to attend for any reason other than medical or compassionate grounds, a refund will be made at the discretion of the Camp Chiefs.

A refund request must be made within five business days before the event

When am I allowed on site?

Gates open at 6pm Friday.

When do busses start picking people up from Waurn Ponds train station?

From 6:30pm Friday.

Where do I go when I arrive?

Head straight to admin for check in, and then make your way to your site. The WG map is available here.

If I need assistance at the event, what do I do?

You can call our event hotline - 03 4830 3627.

Who can attend WG?

Anyone in Scouts aged between 14 and 18 can attend WG as a Venturer participant.

What do I need to do if I am being hosted by a different unit?

You will need to complete a hosting form and send it to the admin team at admin@winter-gathering.com

What activities are on offer?

What food will there be on-site?

Winter Gathering will provide a Snack Shack at the event, however meals will need to be catered for by the Unit independently.

Can our unit bring their own fire pit?

Unfortunately, no, we will have fire pits split up between the regions and we will be providing the firewood, all you need to provide is kindling and fire lighters to contribute to your region fires.

What time do cars and trailers need to be offsite on Friday night?

Cars and trailers and need to be offsite by 11pm on Friday night, any cars that are not off site by then will be politely asked to be moved by one of our friendly committee members. If you have a trailer that needs to stay onsite for any reason, it is at the discretion of the camp chiefs to decide on whether it can stay or not.

Q: How can I get a list of members in my unit/units I am hosting?

WG will provide all registered Unit Leaders with a Unit List the week before the event. If you require one sooner please contact us at admin@winter-gathering.com
